Subscription and invoices

Subscribe, change plans, keep an eye on usage and find your invoices.

Your subscription

The Subscription page (/o/<your-organisation>/abonnement), for the people who manage billing, shows the plan, the state (trial, active, cancellation scheduled…), the next renewal date and its amount excluding VAT.

  • Subscribe during or after the trial, as soon as online payment opens: the monthly period starts on payment and renews every month on the same day. Your subscription invoice is issued as soon as the payment is received; each following period comes with an invoice due no later than the start of the period; all of them are in your account.
  • Upgrade: takes effect immediately; the prorated difference is added to the next renewal and shown before you confirm.
  • Downgrade: takes effect at the next renewal; nothing is deleted, items beyond the new ceilings are frozen.
  • Cancel: takes effect at the end of the paid period; you can reactivate until then.

After the trial or a cancellation: the Free plan

Without a subscription when the trial ends, or at the end of the paid period after a cancellation, the organisation continues on the Free plan, with no payment or invoice and reduced limits (see the Pricing page). Nothing is deleted: agents, administrators (except the longest-standing one) and mailboxes above the limits are frozen; they can be reactivated from the Usage page after subscribing to a paid plan, which you will be able to do as soon as online payment opens.

  • One Free plan per account: another organisation of the same account becomes read-only when its trial ends, for 30 days; without a subscription within that period, its closure is scheduled.
  • Individual support limited to billing, security and personal data; at most 500 platform e-mails per month; “Powered by Tikivio” notice on the widget and the portal; message presenting Tikivio below the footer of the e-mails sent to requesters.
  • An organisation without a sign-in by a member or a new request for 12 months is deleted, after e-mail notices 30 days and then 7 days before, with a link to export its data.
  • An unpaid due date does not lead to the Free plan: the organisation becomes read-only for 30 days, then its closure is scheduled.

Usage

Subscription and consumption (/o/<your-organisation>/abonnement/consommation) shows each limit: active agents, connected mailboxes, storage, new requests this month. Warnings at 80% and 100%; going over is never charged automatically. Automatic translation of conversations, not enabled yet, is shown there as such.

Invoices and billing details

  • Invoices (/o/<your-organisation>/abonnement/factures): every invoice and credit note as a PDF.
  • Billing details (company name, address, VAT number): /o/<your-organisation>/abonnement/facturation.

Payment

Online payment is not open yet: paid plans cannot be subscribed to for the moment. The payment history will be shown under Payments and card (/o/<your-organisation>/abonnement/paiements).

If a payment fails

You have 7 days to settle it, with reminders on the day, after 3 days and after 6 days. After that, the organisation becomes read-only for 30 days: your data stays available and can be exported, but your mailboxes are no longer collected (messages stay with your e-mail provider). A payment during that period starts a new period. Without payment, the closure of the organisation is scheduled and its data is deleted 30 days later, after e-mail reminders; a copy of the data remains on offer until then.
